How do I set up my company card?

You will have the ability to set up company credit cards in TripActions for use by your travelers to book their travels without having to use a personal payment method.

  1. Select the Company Settings tab in the Admin Dashboard.

  2. In the section labeled Travel Payment Methods, click +Add new card.

  3. Enter the Credit Card information.

  4. Limit the credit card to a specific Department, Cost Center, Region or Subsidiary or leave it as-is to be available for all users in your company to use.

    • Only users with the same field listed for them in the Users tab will have access to the company credit card.

    • You can also enter the same card more than once if it needs to be assigned to more than one Department, Cost Center, Region or Subsidiary.

  5. Select Available, Mandatory or Unavailable define the card usage terms for flights, hotels and trains.

    • Flights - All flights are paid for at the time of checkout in the application. If you would like all flight bookings and payments to flow through a central corporate card you should select Mandatory here. 

    • Hotels - Many hotels available in our marketplace will offer the “Pay at Hotel” payment option meaning a traveler can reserve the room in our application, but will still be required to pay with a card on hand upon arriving at the hotel. If your travelers are solely going to be using the corporate card for travel, they should always select hotel options that are "Pay now" payment method so they are not required to pay with a card on hand upon arriving at the hotel. Any credit card is still required for incidentals.

    • Trains - All trains are paid for at the time of checkout in the application. If you would like all flight bookings and payments to flow through a central corporate card you should select Mandatory here. 

  6. Click Save.
